Customer’s company team utilised two systems: SAP and BPM Online. Some Joint Service Centre (JSC) workflows involve the exchange of information between these systems. But company management decided to abandon the use of SAP in the long term due to the high cost of developing a full integration, so further technical refinements and integration should be planned without the use of this system.
As a way to integrate SAP in BPM Online the company then decided to consider the RPA functionality and invited ICL GOC to conduct pilot projects.

Key Challenges
- Reducing processing time for each element by 80%. Target figures: creation of the document in SAP takes 3 min for the first process and 7 min for the second one.
- Ensuring automatic attachment of the created reconciliation act into BPM Online.

Implemented our solution
- A team of two ICL GOC specialists analysed the selected process in two months and implemented a UiPath-based robot enabled by BPM Online after an employee starts the “Create a reconciliation act” process. Next, the robot reads the following BPM Online address fields: Address number, Name of the counterparty, TIN, RRC (Registration Reason Code), then launches SAP, creates an Excel document in the system and attaches it to the BPM Online address.

- After implementing, time for creating reconciliation acts has been reduced by 80% now taking about 40 seconds per document.
- Automation of the SAP and BPM Online integration reduced the workload of employees and allowed three people to be redeployed to other tasks.
