System integration for a Finnish construction company

The customer of the project was a Russian subsidiary of a global Finnish construction group with headquarters in Helsinki. In the spring of 2022, the unit's assets were taken over by a different Russian legal entity.

Due to geopolitical changes, the company's global office planned to transfer the Russian business to a local organization. Therefore, it was necessary to separate the IT infrastructure of the Russian branch — to migrate data and users into a separate new M365 tenant.

However, all Microsoft products used by the parent company — SharePoint, Exchange, Teams, OneDrive, Windows, Office, and others — were licensed by the global company.

To implement the plan, the customer turned to the experts of ICL Services.

Implemented our solution

  1. The project began in January 2022.

    First, the ICL Services team gathered the customer's requirements and clarified the task and conditions. Next, the project timeline and the licensing costs of the software and migration tools, as well as the work itself, were estimated.

    Once access to the customer's infrastructure was obtained, a detailed work plan was formed.

    The following data were subject to migration:

    • 1250 user accounts;
    • 1,150 mailboxes with 9.4 TB of data;
    • 1,070 personal data storage for 4.7 TB;
    • 230 SharePoint sites totaling 2.1 TB;
    • 400 Teams teams totaling 0.9 TB.

    Quest On Demand was chosen as the migration tool, but this choice had to be justified to the customer. To do this, ICL Services engineers contacted the vendor, obtained a test license, and conducted test migrations for various types of content.

    After demonstrating the effectiveness of the approach, tools, and migration scheme at the workshop, the team prepared all the documentation for the live migration and conducted a test migration of a pilot user data group.

    It took three weeks from the start of work to the deployment of the prototype.

Results

  • In just 3 weeks, we planned the migration of users and data to the own Microsoft 365 tenant of the Russian division.
  • With a product and tool license, the customer was able to migrate quickly and without los-ing data.
